Review Assets, Liabilities, and Equity at a selected period end.
Steps
- Open Reports > Balance Sheet.
- Choose a Report Period. Presets show read-only From and To dates;
choose Custom Range to edit them. The Balance Sheet remains a snapshot as of the To date. From defines the profit period shown in Equity.
- Expand Assets, Current Assets, Non-current Assets, Liabilities, Credit Cards,
Equity, and other groups to review their accounts and subtotals.
- Select an account row to open its Transaction Report for the current
Balance Sheet period. It shows Transaction date, Transaction type, Account Name, Item split account, Amount, and running Balance, including the balance brought into the selected period and the account total. Transaction dates use the same unambiguous YYYY-MM-DD format as Bank Transactions. Select any column heading to sort ascending or descending. The report shows 25 rows per page by default and also offers 50 or 100 rows per page with Previous and Next controls, so a large account history is not rendered as one oversized table. Select a transaction row to continue to its source detail. Expense and Income rows open the existing transaction drawer. A Bank Transaction source allows Category, Tax, Note, Tags, and attachment corrections while imported bank facts remain locked under the existing permissions. Journal Entry rows open the posted Journal Entry detail, and Transfer rows locate the record in Transfer History.
- Confirm that the report balances according to the displayed accounting presentation.
- Use Export CSV or Print when required.
If a Transaction Report cannot load, xBoox displays the shared system error dialog and leaves a Try again action on the report. Include the displayed Reference ID when requesting support; internal error codes and technical stack details are not shown in the report.
Profit for the year is a calculated summary, not a Chart of Accounts row, so it does not open as one account. Review its supporting activity in Profit and Loss instead.
How to read it
- Assets represent resources and eligible account balances.
- Liabilities represent amounts owed.
- Equity represents owner or shareholder interest and applicable accumulated results.
- Profit for the year connects current-year Profit and Loss activity to Equity.
Posted Journal Entry lines affect applicable Balance Sheet accounts. A posted reversal offsets the original entry while preserving history.
Balance Sheet uses the same completed-transaction and Journal Entry ledger as General Ledger and Trial Balance. Unmatched raw bank rows do not become account balances. Inactive accounts with historical balances remain visible, and an opening balance is paired with Opening Balance Equity.
Important boundaries
- Balance Sheet remains an as-of report. It is a cumulative snapshot through one
To date, not a total of activity between From and To. Profit before From is carried into Retained Earnings or Owner's Equity so the statement stays balanced.
- Use Reports > Balance Sheet Comparison to compare the selected period end
with the matching previous period. It shows current, comparison, dollar change, and percentage change columns. When the previous balance is zero, percentage change is shown as an em dash because there is no meaningful baseline.
- Profit and Loss is different: it totals activity that occurred during its date range.
- Reconcile verifies imported account rows against a statement; it is not replaced by viewing the Balance Sheet.
- Missing or incorrect opening balances can affect the usefulness of account balances.
- xBoox does not automatically create every depreciation, CCA, loan, or year-end adjustment.
