Choose the right xBoox report
Open the report that answers the bookkeeping question you are reviewing.
Dashboard
Use Dashboard for summary indicators and trends. It is an overview, not the detailed accounting record. The initial view loads the periods needed for the current comparison and recent trend. Choose All time in Income vs Expenses when you need the complete historical trend; xBoox loads that longer summary when requested and reuses it while the Dashboard remains open.
Profit and Loss
Use Profit and Loss to review Income, Expenses, Operating Profit, and the resulting Net Profit or Net Loss for a date range. A parent account row shows its own direct postings. Expand its chevron or name to review subaccounts. Total for [account] shows the combined parent and subaccount amount; use the parent's direct amount to open only its own postings.
Profit and Loss Comparison
Use the comparison report to compare two reporting periods. Period labels follow the Workspace business structure: Sole Proprietor uses calendar-year language; Corporation may use fiscal-year language.
Balance Sheet
Use Balance Sheet to review Assets, Liabilities, and Equity as of the selected period's To date. Expand its account groups to see accounts and subtotals.
Balance Sheet Comparison
Use Balance Sheet Comparison to compare two period-end snapshots. It follows the standard Balance Sheet hierarchy and adds current, previous, dollar-change, and percentage-change columns.
General Ledger
Use General Ledger for account-by-account transaction detail. Account totals load first; expand an account to load its details in 50-line pages. Detailed export and print include all matching lines, not just the displayed page. Beginning Balance contains activity before the selected From date. A saved account opening balance whose effective date falls inside the selected range appears on that effective date, so running balances do not use it early. Posted Journal Entry lines are included with their entry number, source, and description.
Trial Balance
Use Trial Balance to review one net debit or credit balance per account as of a selected date, or compare two complete as-of Trial Balances with From and To. The current interface displays Accrual Basis. Whether xBoox will later support Cash Basis remains undecided. Income and expenses cover the applicable current year through the reporting date; prior-year net earnings roll into Retained Earnings or Owner's Equity. Asset, liability and equity balances remain cumulative.
GST/HST Summary and Detail
These reports appear when GST/HST tracking is enabled. Line 106 amounts for eligible Expense and asset purchases follow the saved recoverable percentage, while collected sales tax remains fully reported. Purchase refunds reverse the related ITC, and Out of Scope income stays outside Line 101. Use them to review recorded tax amounts; they do not file a return or track filing status.
Rental Property Summary
This report appears when Residential Long-term Rental is enabled. It groups posted rental income and expenses by saved Rental Property assignment.
Report data rules
- Final reports exclude Pending bank rows and ignored rows.
- Draft or needs-review transactions may be excluded from final totals.
- Split transactions contribute through their split lines.
- Posted Journal Entry lines affect applicable financial reports.
- Reversed entries remain visible with offsetting reversal entries, producing a net-zero effect.
- Available reports may support CSV export, print, or transaction drilldown; controls vary by report. Printing a paginated report includes all rows matching the report, rather than only the page currently visible.

Enter dates in filters
In editable From and To filters, type or paste a complete date in YYYY-MM-DD format, or use the calendar icon on the right. Invalid dates stay available for correction and are not applied. Editing either preset date selects Custom Range. Select Apply to load the complete range; typing does not query report data.
Date entry uses year, month and day segments. Type four year digits, two month digits and two day digits; separators appear automatically. A separator or leaving the field pads a one-digit month/day. Use left/right arrows or click a segment to change it. Paste YYYY-MM-DD or YYYYMMDD. Confirm with Enter or by leaving the date controls. Moving from From to To does not refresh an operational list; reports still use Apply. An invalid or reversed range is not applied.
Updates after saving bookkeeping changes
After a successful transaction save or a Journal Entry post or reversal, xBoox reloads the financial report currently open in that Workspace. Other reports load current data when you open them. The report keeps its applied period, filters, sorting and page size; a page may move back if fewer pages remain.
Changing a Category may remove a line from that category's detail report. The same transaction can remain in a payment-account report, and other split lines can still belong to the selected account. xBoox reloads the report to determine which lines belong rather than simply removing the edited transaction.
If the save succeeds but the report cannot reload, the saved changes remain saved. Use Refresh to reload the report; do not enter the transaction again.
Saved changes and unavailable exports
Successful transaction changes, confirmed receipts, posted journal entries and other accounting postings invalidate related financial reports. The visible report refreshes; other reports load current data when opened. Changing pages between saves does not cancel the newer page's saved-change refresh.
While Profit & Loss, Expense by Category or Balance Sheet is reloading, its export and print actions are unavailable. If loading fails, use Refresh before exporting or printing; an earlier snapshot is not used as the latest report. A failed report refresh does not undo a successful transaction save.
After editing a posted transaction from Bank Transactions, the visible list reloads its current classification with the existing filters and sorting.
Consistent report downloads
Summary and Comparison reports offer Export to Excel, Export to PDF, then Export to CSV. General Ledger and transaction/GST/category drilldowns offer Excel and CSV; Print remains separate. Downloads use the applied period, filters and selected detail columns, with all matching rows rather than only the current page. Collapsed account groups do not omit matching detail.
Names include Workspace, report, period (or As Of date) and client local download timestamp. PDF Generated includes the timezone offset. Excel keeps money numeric and identifiers/dates as text; percentage and record-count columns do not get dollar signs. CSV includes a UTF-8 BOM and field quoting. Text that could be interpreted as an Excel formula receives a protective apostrophe in CSV; numeric negative amounts do not. CSV is not a universal import template.
Wide summary PDF output uses landscape and, when necessary, labelled column-group pages repeating the account column. No data columns are dropped. Report data is formatted locally; there is no external conversion service. Download waits for a loaded report and discards output after relevant Workspace, period or data changes.
Excel data row height
Page-level Excel downloads use fixed-height data rows with automatic text wrapping off. Long Memo, Note, Description and account text remains fully stored in the cell. Widen the column or select the cell and use the formula bar to read it; fonts are not shrunk to fit. Column headings may wrap separately. This presentation rule does not alter amounts, records, CSV or PDF output. Settings Data Export is outside this update.
Detail Excel downloads size columns by purpose: compact dates, identifiers and types, wider account/category names and Memo/Description fields, with suitable monetary widths. Customize column choices retain the matching width when columns move or disappear. Summary statements retain their account-first layout.
Excel titles, Workspace/period labels, scope notes and column headings are separate from fixed-height data rows: they wrap and receive additional row height as needed. Scope notes span the table width. Summary exports freeze the rows above the data without freezing the first column; detail exports also freeze the first identification column. The freeze line is an Excel viewing aid, not a printed border. Account columns remain text columns. Settings Data Export remains outside this update.
Date ranges use to between the start and end dates in the app and report outputs (for example, 2025-11-01 to 2026-10-31). Three-column date Comparison Excel exports use a narrower Account column and wider period columns; headings may still wrap when needed.
Excel expandable groups
Excel downloads preserve all matching rows. Only General Ledger and GST/HST Detail use native row outlines, initially collapsed to summary/total rows. Use Excel plus/minus controls to expand them. All other Excel reports show their rows without collapse controls. This does not change amounts, row completeness, or the app’s expand/collapse controls. Detail rows retain fixed height without automatic wrapping.
Flat reports, including GST/HST Summary, Account Summary, Trial Balance, transaction drilldowns, Journal Entries and Transfers, keep their existing layout. CSV and PDF/Print output are unchanged. Settings Data Export remains outside this update.
Returning from report details
Returning to Profit and Loss or Balance Sheet can reuse the loaded report when the Workspace, period and accounting revision have not changed. Reopening the same account detail shortly afterward can also reuse its result for up to one minute. Use Refresh to request current data immediately. Confirmed accounting changes invalidate reused results. Simply opening and closing a transaction without saving does not change the books.
Open comparison amount detail
In Profit and Loss Comparison and Balance Sheet Comparison, click an account's amount in the current or comparison column to open detail for that column's period. Hovering over or focusing the amount underlines it. The account label and the rest of the row do not open detail. Totals, calculated net income, dollar changes and percentage changes remain summary values.
Use the detail's Back link to return to the comparison with the applied dates preserved. Detail loads when requested. Unchanged comparison summaries and recently opened detail may be reused briefly; confirmed bookkeeping changes and manual refresh cause a fresh read. Balance Sheet detail includes the beginning balance and activity through the selected snapshot date.
Download filenames
Individual report and transaction-list downloads use Workspace_Report Name_Date Range_YYYYMMDD_HHMMSS.extension. A range uses YYYY-MM-DD to YYYY-MM-DD; snapshots use As Of YYYY-MM-DD, and unbounded lists use All Dates. The timestamp follows your device's local time. Bank Transactions, Spent, Received, Chart of Accounts and Reconciliation History use the same naming helper as reports. Original attachments and Settings Data Export packages keep their separate existing filenames. Renaming a download does not change its records or amounts.
Report date controls
Corporations with valid fiscal settings default to This Fiscal Year to Date; other workspaces default to This Year to Date. Full-year choices remain available. Preset From and To dates are editable. Editing either date selects Custom Range, and Apply loads the complete range. Drilldown retains the selected dates and corresponding period label. Comparison drilldown uses the clicked column and Back restores the comparison settings.
Full year and To Date
All Report Period controls offer This Year and This Year to Date. A corporation with valid fiscal settings also has This Fiscal Year and This Fiscal Year to Date. To Date ends on the current local date; a full-year choice ends on the calendar or fiscal year end. The default is the applicable To Date choice. An explicit saved or drilldown date range remains unchanged.
The order is This Month, Last Month, This Fiscal Year, This Fiscal Year to Date, Last Fiscal Year, This Year, This Year to Date, Last Year, Custom Range; fiscal choices are omitted for workspaces using calendar-year reporting. The shared Report Period control allows the longer label, and its menu sizes to option text. Comparison Previous Year shifts the selected dates back one year; it does not extend a To Date selection to the end of the previous year.
Exact dates in statements and downloads
Balance Sheet displays Report Period: YYYY-MM-DD to YYYY-MM-DD. Balance Sheet Comparison and Profit and Loss Comparison identify Current Period and Comparison Period separately, with both complete ranges. Date-range column headings retain lowercase to. Print and Excel/PDF/CSV outputs use the same selected dates; Balance Sheet filenames include the complete selected range.
Balance Sheet amounts remain cumulative balances at each period end, including amounts brought forward. Showing From and To does not turn the Balance Sheet into a period-activity report. The statement and its outputs include this explanation.
Comparison detail preserves the exact dates of the clicked column. If the comparison range does not match an available preset, including prior-year To Date activity or an older fiscal year, Report Period shows Custom Range. Returning restores the applied comparison controls, and account amounts remain available for another drilldown.
