Set up bank and credit-card accounts

Prepare the accounts xBoox uses for manual transactions, `.qbo` imports, transfers, and reconciliation.

Before you begin

Confirm that Business Profile uses Bank Account-Based Tracking. A sole proprietor or corporation may use this setup when dedicated business bank or credit-card accounts are tracked.

Review the Chart of Accounts

  1. Open Accounting > Category (Chart of Accounts).
  2. Confirm that each business bank account appears as an active Bank & Cash account.
  3. Confirm that each business credit card appears as an active Credit Card account.
  4. For a custom Bank & Cash or Credit Card account, turn on Use for statement import and reconciliation when it represents a statement account.
  5. Use clear account names that match the real statement account.

Only eligible active accounts appear in statement import and Reconcile selectors. xBoox uses the account type, active state, stable built-in account identity, and the statement-import setting. Renaming or renumbering an account does not change its eligibility. Pay From, Deposit To, and Transfer may include additional active payment accounts that are not statement accounts.

Cash on Hand and the built-in Personal Credit Card are not statement accounts. A dedicated Business Credit Card may be used by either a sole proprietor or corporation when Bank Account-Based Tracking is enabled.

Set the opening balance

Before the first reconciliation:

  1. Open Banking.
  2. Select the account card that requires setup.
  3. Open Set Bank Balance.
  4. Enter the opening-balance date and amount.
  5. Optionally enter a memo.
  6. Save the setting.

The opening balance establishes the starting point for Reconcile. It is not a new Expense or Income transaction.

Statement cycle

xBoox uses calendar month-end for bank accounts and a monthly closing day for credit cards when suggesting the next reconciliation period.

On Accounting > Reconcile, select a credit-card account. If its closing day has not been saved, xBoox opens a setup dialog. Enter the closing day printed on the latest statement and select Save & continue. Reconcile then shows complete date ranges, such as Jan 16 – Feb 15, 2026. Select Edit beside Statement Cycle to reopen the dialog if the issuer later changes that closing day.

Important rules

  • Do not use one xBoox account for multiple real bank or credit-card accounts.
  • Transfer selectors use eligible active Bank & Cash and Credit Card accounts.
  • Opening balances and statement cycles are Workspace-specific.
  • An account with Use for statement import and reconciliation turned off will not appear as an import or Reconcile account.
  • Changing an account name or number does not enable or disable statement workflows.
