Resolve sign-in and Accountant invitation problems
Choose a sign-in method, restore an Auth0 session, or correct an invitation problem.
Choose a sign-in method
The Portal Sign In action opens xBoox and first attempts to restore an existing Auth0 session. When authentication is needed, complete the secure Auth0 sign-in flow. Google and email are available in the current development flow. The Portal /signin page also offers these methods directly. Microsoft and Apple remain unavailable until their connections are configured.
Use the same method each time when possible. xBoox does not receive or store your Google, Microsoft, Apple, or email password; Auth0 and the selected provider handle authentication.
An account already uses this email
Two sign-in methods can return the same email while representing different Auth0 identities. xBoox does not merge them based only on matching email.
If xBoox reports that account linking is required, sign out and use the original sign-in method associated with the existing Workspace. Neither identity nor Workspace access is automatically changed. Secure self-service linking will require fresh authentication of both accounts and is not available in the current version.
Open xBoox in another tab
xBoox keeps authentication tokens in memory rather than persistent browser storage. Reloading a tab or opening another tab can restore authentication while the hosted Auth0 session remains valid. You do not need to choose Google again for every tab. Browser privacy settings or an expired Auth0 session may require sign-in again. Closing the browser clears in-memory tokens; it does not necessarily end the hosted Auth0 session.
An open tab can supply its current Workspace to a new tab on the same origin. xBoox checks that Workspace against the signed-in identity's authorized list before opening it. If no current authorized Workspace is available, xBoox opens the only available Workspace or asks you to choose among several.
Selecting Sign Out clears the xBoox session and requests hosted Auth0 sign-out. An explicit signed-out return does not silently sign you back in. Selecting Sign In starts a new sign-in attempt. Invitation account switching and registration retain fresh-authentication behavior.
The layout changed or looks too compact
Windows and Mac computers use the full workspace in Google Chrome. Phones and tablets use quick entry, including iPad with a keyboard or mouse. Old Desktop View or Mobile View preferences no longer override the device experience. Resizing or rotating does not switch experiences or reload an open form. On a computer, enlarge the browser window to meet the 1280 × 720 CSS-pixel desktop design target.
See Browser and device support.
Owners and invited Accountants use the same Sign in action on the public Portal. Workspace membership and invitation status determine which private Workspaces the signed-in identity can open.
Sign in from an installed iPhone Web App
When xBoox is opened from an iPhone Home Screen icon in standalone mode, tap the xBoox sign-in button to open Google or Auth0 in a temporary secure sign-in window. Complete authentication there. The temporary window should close and return to the original xBoox Web App without leaving browser controls attached to the bookkeeping screen.
Do not close the xBoox Web App while the temporary sign-in window is open. If the window is closed or blocked, return to xBoox and tap the sign-in button again. A normal browser tab continues to use the regular redirect flow.
Sign-in page is no longer active
Using the browser Back button while Google or Auth0 sign-in is in progress can return to an authorization request that has already been used or has expired. xBoox does not reuse that request and returns you to the Portal home page. Select Sign in to begin a new sign-in attempt.
This condition does not change Workspace or bookkeeping data. Do not keep reopening the older Google or Auth0 page from browser history.
Session expired
xBoox attempts one silent Auth0 renewal when a private API request reports an expired token. If renewal succeeds, retry the work after the Session refreshed confirmation. If it fails, sign in again.
Authentication failures must not be interpreted as empty bookkeeping data. Do not recreate missing-looking records before restoring the session.
Email is not verified
Complete Auth0 email verification, then sign in again. A verified email is required for Workspace and invitation access.
Invitation expired
Accountant invitation links expire after seven days. Ask the Workspace Owner to refresh the pending invitation and send the newly generated link.
Wrong signed-in email
The accepted Auth0 email must match the invited email. Sign out and use the exact invited address, or ask the Owner to replace the invitation.
Invitation is revoked or already used
A revoked link cannot be restored. An accepted link does not create another membership when opened again. Ask the Owner to review Accounting > My Accountant.
Another Accountant is active
Each Workspace allows one active Accountant. The Owner must revoke existing access before inviting a replacement.
Workspace access is denied
If an administrator has disabled the account, signing in again does not restore access. Contact xBoox support for an account review. The daily Workspace data limit is separate; see Continue after reaching the daily data limit for the dev preview behaviour.
Signing in does not automatically grant access to every Workspace. Confirm that the membership or invitation belongs to the selected Workspace.
After an invitation is accepted, sign in directly with the invited verified email. The original invitation link is not required. If xBoox cannot complete workspace discovery or load the permitted data, it first makes a limited retry for temporary connection or service errors. It never retries a denied Workspace, an expired sign-in, or a user-cancelled request. If loading still cannot finish, xBoox keeps the startup check on screen and offers Retry instead of displaying an empty or partial Dashboard.
If the message says the signed-in account no longer has access, choose another Workspace or ask that Workspace Owner to review access. If it asks you to sign in again, restore the session first. Retrying does not change bookkeeping data.
Session changes while the app is open
If xBoox detects that a renewed session belongs to a different account, it stops and asks you to sign in again before loading that account's Workspaces. The failed request is not retried using the other account. Signing out clears the tab's credentials immediately, including when another open tab announces the sign-out. Refreshing a signed-out tab does not silently sign it back in; choose Sign In to resume authentication.
Requests started before sign-out or an account change are cancelled in the app when their results arrive. They cannot automatically retry using your new account or restore the previous Workspace selection. After signing in again, open the current record before continuing an interrupted action. A save already accepted by the server before sign-out can still be present when you sign in again.
Profile, theme and Portal
In Me, choose Profile or your avatar to see your sign-in name, email and sign-in method. Identity fields are read-only. Profile opens beside Me; on Portal it opens below the header avatar. The page stays usable without a dimmed overlay. Click outside, use the close button or press Escape to close.
Use the small settings gear beside your avatar to expand the avatar selector inside Profile. Choosing an avatar updates it and collapses the selector. Theme offers Light and Dark directly in the account menu. Theme applies to the xBoox app; Portal keeps its website appearance. There is no separate Preferences submenu.
Choose your help language inside Help Center. The next Help Center link from Me or Portal uses your last choice in this browser; the first default is English. Theme, avatar and help language are browser-local preferences shared between the app and Portal, not cloud-synced across devices. Help language changes help content, not the bookkeeping interface language.
When Portal confirms your signed-in session, its header shows Try Demo, Open xBoox and an avatar menu with Profile, theme, help and Sign Out. Profile stays on the current Portal page without loading the Dashboard. When signed out, the homepage shows Try Demo, Sign Up and Sign In. While the initial session check runs, the header shows Checking. If it cannot confirm the session within about three seconds, it offers Sign Up and Sign In. This fallback does not sign you out or clear a valid session. Select Sign In to continue through authentication; opening a Workspace still requires identity and access verification.
Sign Out from Portal finishes through the app's Auth0 sign-out and announces sign-out to other open app tabs. Existing app sign-out also updates connected Portal menus. After sign-out, choose Sign In to resume. No Workspace data or authentication tokens are sent to Portal for the avatar menu.
When opening a new app tab, xBoox attempts silent session restoration once if the Auth0 quick check skipped it. An expired session can still require Sign In. Explicit sign-out prevents automatic restoration.
After you explicitly sign out, selecting Sign In or a monthly/annual plan starts an interactive Auth0 sign-in request instead of silently restoring the previous xBoox session. The selected plan is retained through sign-in. Normal session restoration remains available when you have not signed out.
