Manage Additional Bookkeeping Features

Enable or disable specialized Category groups for Home Office, Vehicle, and Residential Long-term Rental.

Additional Bookkeeping Features control whether specialized managed Category groups can be used for new bookkeeping in a Workspace.

How it works

The current profile includes activity groups for Home Office, Vehicle, and Residential Long-term Rental. Enabling a group makes its managed Categories available. Disabling it removes those Categories from normal selection and prevents new transactions from posting to the disabled group.

Choose the right option

Enable only activities that apply to the entity represented by the Workspace. Review the Setup Impact before saving so you can see which managed accounts will be added or removed from active use.

Enable a feature

Open Settings > Business Profile, enable Home Office, Vehicle, or Rental Property, review Setup Impact, and save. Custom Categories are not assigned to these xBoox-managed feature groups, and xBoox does not infer a feature from a custom account number.

Important rules

  • Disabling a group does not delete historical transactions or their audit history.
  • A group with no saved or unfinished references disables immediately.
  • A group with completed history requires confirmation. The confirmation lists the historical records that remain available after new use is disabled.
  • A group with unfinished work cannot be disabled. xBoox lists each blocker and the action needed before saving again. Blockers can include draft, needs-review, or unmatched transactions; active bank rules; unresolved import preview rows; and unposted Home Office Working Papers.
  • Home Office and Vehicle remain in the navigation when disabled. Their pages explain that the feature is disabled and provide a link to Business Profile.
  • To post new transactions to a disabled group's managed Categories, re-enable that feature and save the profile first.
  • Home Office and Residential Long-term Rental have documented working flows.
  • Vehicle remains partial. The dev design uses separate group working papers and explicit manual review, without automatic Journal Entries; this Help Center does not publish a complete Vehicle procedure.

If a feature cannot be disabled

The dialog lists each blocker with a count and an action. Resolve every non-zero blocker, return to Settings > Business Profile, clear the Activity, and save again. The same rule applies to Home Office, Vehicle, and Residential Long-term Rental. Select Help Center in the dialog to keep the blocker list visible while opening the detailed checklist in a new tab.

Vehicle group count (dev)

With Vehicle enabled, choose up to three reusable expense groups in Business Profile. Each includes expense children and a separate Lease Expense account. Reducing the count hides the later groups from new posting but preserves their history. Saved Vehicle working papers alone do not block disabling the feature: they are review records, not unposted financial transactions. Historical groups with expenses or saved papers remain available for review.
