Export Your Bookkeeping Data
Download a Complete Archive or an Accountant Package with supporting files.
Data Export in dev creates a fixed snapshot and packages existing feature exports with available original attachments. Excel is preferred when that feature supports it; CSV-only features keep CSV. A dataset is not exported in both formats. This package supports review and processing; importing into another system may require field and account mapping.
Create and download
- Open Settings > Data Export & Download. Accounting > Accountant Export opens the same workflow with Accountant Package selected.
- Choose Complete Archive for retained history or Accountant Package for a selected transaction period.
- Set the dates for Accountant Package. Its reports cover that period. Complete Archive uses annual report folders through the export date. Sole proprietors use calendar years; incorporated Workspaces use their configured fiscal periods.
- Complete Archive includes attachments. Accountant Package allows Include Attachments to be cleared.
- Select Generate Export and keep the page open until preparation finishes. Then select Download ZIP in Export History.
Owner and active invited Accountants, including View Only, can generate and download. Owner and Accountants with Edit permission can delete any export record in the Workspace, regardless of its creator. View Only Accountants cannot delete exports.
Included content
- Applicable reports: Profit and Loss, Balance Sheet, Trial Balance, full General Ledger, GST/HST Summary, GST/HST Detail, and Expense by Category summary. Simple Tracking omits unsupported Balance Sheet, Trial Balance and General Ledger reports. Individual category drilldowns and comparison reports are not generated separately.
- Spent, Received and Transfers: all non-deleted records in scope, with their statuses, using the existing list columns. Selection, paging and current page customization do not restrict package output.
- Journal Entries: entries in scope with complete Debit/Credit lines and recorded status, including reversal entries. These are formal Journal Entries, not an extra combined journal of every transaction type. General Ledger contains the applicable full ledger activity.
- Bank Transactions: all accounts with relevant records, including inactive accounts, separated into Posted and Ignored. Pending rows are omitted. Bank source data may describe the same activity as Spent/Received/Transfers; do not sum these lists together.
- Chart of Accounts in CSV, plus original attachment files and two supporting index files.
Contacts, Tags, Rules, imported Statements, Reconcile records, Home Office and Vehicle Working Paper data, Rental Properties settings, Year End Review states, Receipt Capture process data, Audit Log and Business Profile/settings are not separate package exports. Their available supporting attachments can still be included.
Example ZIP directory
The following is illustrative. Empty transaction lists are recorded or omitted rather than producing empty files. Only applicable reports and accounts appear. Account folder suffixes distinguish accounts with the same display label. Accountant Package places report files directly in Reports, without annual or Overall folders.

└─ Attachment Index.csvAttachments and file checks
Attachment Index.csv links each file to its original name and source record. Linked transaction attachments follow the selected transaction period; Journal Entry evidence follows Journal Date. Other retained supporting or unlinked evidence can span other periods, so check its source and date in the index. Only retained, readable originals can be supplied.
Names use date, type, applicable absolute transaction total with two decimals, original stem, and a suffix beginning _01. Collisions are resolved across the entire folder, including different transactions, after cleanup and case-insensitive comparison. The same snapshot has a fixed allocation order. Currency and related transaction identifiers remain in the index.
Transactions use their transaction date and total; unlinked bank rows use bank date and amount. Journal Entries use Journal Date without an amount. Working Papers, Reconcile, unconfirmed Receipt Capture and unlinked drafts use first-upload date in UTC with Uploaded, omitting an amount. Missing historical dates use Undated. Stored names, original files and private storage paths are not renamed.
Reports and attachment availability are checked before the ZIP response starts. Missing or unreadable attachments prevent download. The system error dialog identifies affected files/source records and available date/amount details, with the reason and suggested action. Report preparation failure also prevents download and names the affected report and period. A file can still become unavailable during streaming; an incomplete ZIP is rejected by the download integrity check. Retry after resolving the cause; create a new snapshot when original records have changed.
History, deletion and expiry
Prepared rows have Download ZIP; older or failed snapshots offer Prepare Export. A trash icon appears when deletion is permitted. Confirm Delete Export to remove that export history and its temporary snapshot. Bookkeeping records, original attachments and copies already downloaded to your computer are kept.
Downloads expire seven days after generation. Expired rows are hidden immediately; the daily cleanup removes expired snapshots and history. Up to ten unexpired snapshots are allowed, and History lists up to fifty unexpired records. Generate a new export for current records. Existing snapshots retain their original data scope; attachment bytes are not copied permanently when the snapshot is created.
Daily allowance and repeat downloads
Each Workspace can generate two new exports per calendar day, measured in America/Vancouver time (including daylight saving changes). Owner and Accountant share this allowance across both package types. Deletion does not restore the allowance. Confirmation appears before generation. Failed snapshot transactions roll back their count; retrying download preparation for an existing snapshot does not create another export.
Generate Export prepares and saves the complete private ZIP before the export becomes Ready. Download ZIP retrieves that file without report calculation or snapshot reads. Older snapshots or failed preparations offer Prepare Export; it prepares the same fixed snapshot without using another daily generation. Preparation failures never publish a partial ZIP. The ZIP shares the export access window and is removed with the export or by expiry cleanup. Original changes after preparation do not change this ZIP; generate a new export for a new snapshot. Only one preparation can run per export at a time. Balance Sheet Excel shows all rows without expandable groups, using the report page formatting policy.
