Set up xBoox for the first time

Sign in, create or choose a Workspace, and complete the Business Profile before recording transactions.

Use Google Chrome on a Windows or Mac computer for the full workspace. Phones and tablets use quick entry. See Browser and device support.

Applies to

  • Bookkeeping setup: Both
  • Role: Workspace Owner
  • Business structure: Sole Proprietor and Corporation

Steps

  1. Open xBoox and select Sign In. Complete the sign-in flow and verify your email if requested.
  2. If you have an existing Workspace, choose it. If its setup is incomplete, resume the Business Profile Wizard.
  3. To create a new Workspace in the current dev Sandbox preview, choose Create New Workspace & Pay, then complete Stripe Sandbox Checkout. Use a test payment method; this is not a real-payment or production activation flow.
  4. After xBoox verifies the Checkout, it creates the Workspace with a temporary name and opens setup. Confirm the name, then complete Business Type, Tracking Method when offered, Tax Registration, Industry, Additional Features, and Review.
  5. Select Finish Workspace Setup. If you leave before finishing, return to the saved setup rather than creating another Workspace.
  6. For later changes, open Settings > Business Profile, review Setup Impact, and save the supported changes.

See Create, switch, and rename Workspaces and Preview plans and Stripe Sandbox billing for the current creation and payment boundaries.

Choose the correct bookkeeping setup

  • Simple Tracking records income and expenses without tracking dedicated bank-account balances.
  • Bank Account-Based Tracking tracks dedicated bank and credit-card accounts and enables Banking, Transfers, Rules, and Reconcile.

Continue with Choose your bookkeeping setup before entering the first transaction.

Important rules

  • Corporation Workspaces use Bank Account-Based Tracking.
  • Sole Proprietor Workspaces use calendar-year language.
  • Corporation Workspaces may use fiscal-year settings.
  • Enabling or disabling Additional Bookkeeping Features changes available managed Categories without deleting historical records.

Workspace Setup Choices

The first-run Wizard uses single-choice radio cards for Business Type, Tracking Method, tax registration and Industry. Industry choices appear as General Self-Employed, Real Estate Agent, Financial Advisor, Mortgage Broker and Custom. Optional activities use checkboxes. When Vehicle Expenses is selected, choose one to three vehicles and optionally name each vehicle (up to 25 characters). These names and the count are saved with the setup draft and applied to Business Profile only when setup finishes. Home Office and Rental Property details are completed in their own working areas after setup. Review shows the selected activities and vehicle names, plus the fiscal year end for corporations. Required-answer and save failures open the shared system dialog; correct the field and retry.

Resume Unfinished Setup

On your next sign-in or app startup, xBoox opens an Owner Workspace whose paid setup is unfinished before reopening a previously used active Workspace. The last saved setup step is restored. If several owned Workspaces need setup, the most recently opened is selected; a newly confirmed Checkout return takes precedence. Continue and Back save the draft; unsubmitted input on the current step may need re-entry. If you have another accessible Workspace, use Switch Workspace to open it. That manual choice is respected during the current login. With only one Workspace, continue its setup; no switch action is shown. Do not purchase another Workspace to resume an existing paid one.
