Complete the first reconciliation

Compare imported bank rows with a statement ending balance and save a review or completed reconciliation.

After xBoox reconciles, closes with a difference, or reopens a period, it refreshes the available periods and History. If that refresh fails, xBoox tells you that the reconciliation action completed. Refresh the page before repeating the action; do not close or reopen the same period again to repair a stale list.

Before you begin

  • Set the account Opening Balance.
  • Import the applicable .qbo statement.
  • Process or review relevant Pending bank rows.
  • Have the bank statement ending date and ending balance available.
  • Confirm that the account is active and enabled for statement import and reconciliation.

Preview the reconciliation

  1. Open Accounting > Reconcile.
  2. Select the account.
  3. Review Account readiness. Opening Balance and Statement Cycle must be ready.
  4. Select the full Statement Period date range that matches the statement.
  5. Enter the statement ending balance. For a credit card, enter the amount owing as a positive number, exactly as shown on the statement.
  6. Select Preview.

The ending-balance field keeps the active input and cursor while you type, including when entering cents. xBoox updates the preview state after you finish editing the field.

xBoox does not show reconciliation rows until setup is complete and Preview is selected. Rows on or before the ending date are selected by default. Later nearby rows may appear as candidates but are not selected by default.

If Preview is unavailable, the message below the button identifies the first item to complete, such as Opening Balance, credit-card statement closing day, Statement Period, or Statement Ending Balance.

Credit-card statement cycle

Credit cards use the monthly closing day printed on the statement. When you select a credit card without this setting, xBoox opens a focused setup dialog. Enter the Statement closing day and select Save & continue. For example, enter 15 when the statement closes on the 15th of each month.

After it is saved, Reconcile shows the closing day in Account readiness. Select Edit there to reopen the same dialog if the issuer changes the cycle. The available Statement Period ranges are recalculated from the saved closing day.

Review the difference

xBoox uses:

Review selected rows and exceptions until the result matches the real statement.

Save the result

  • Save for Review saves draft work without closing the statement period.
  • Mark as Reconciled is available only when Difference is zero.
  • Close with Difference requires explicit confirmation and preserves the difference for history and audit review.

History and reopen

Use the History view to filter final reconciliations by account, period, and status. Open View Report to inspect the saved row snapshot and attachments.

Use Reopen Period when a closed period must be corrected. Supply a reason. Reopening removes the reconciled mark from the selected bank rows while preserving the prior history and audit trail.

Important rules

  • A completed statement ending date cannot be reconciled again until it is reopened.
  • Reconcile shows the same eligible statement accounts used by Bank Transactions and Statements. Renaming or renumbering an account does not change this eligibility.
  • Reconciled rows and related transactions are protected from ordinary change.
  • Save buttons are disabled while a request is in progress to prevent duplicate records.
  • Closing with a difference is not the same as achieving a zero-difference reconciliation.
